This article aims to show you how to link Notion and Google Calendar to streamline your workflow. With this integration, you can easily add events to Google Calendar by adding new items in your Notion database.
The process requires a simple one-time setup, which can be accomplished using Pabbly Connect.
Initially, we will establish a connection between Notion and Pabbly Connect to collect new items. Afterward, we will connect Pabbly Connect to Google Calendar to create events in Google Calendar based on the gathered items.
Step to Automatically Create Google Calendar Events from New Notion Database Items
1. Sign In / Sign Up to Pabbly Connect and Create a Workflow
2. Setup Notion as the Trigger App to Capture New Items
3. Add Date / Time Formatter to the Workflow
4. Setup Google Calendar as the Action App to Create Events
Step 1:- Sign In / Sign Up to Pabbly Connect and Create a Workflow
A. Sign In / Sign Up
To begin this process, visit Pabbly Connect and create your account by clicking on the ‘Sign Up Free’ button. You can also click on Sign In if you already have an account.
Click on the Pabbly Connect ‘Access Now’ button
B. Create Workflow
To create a new workflow, click the ‘Create Workflow’ button.
Name your workflow, and click on ‘Create’.
Step 2:- Setup Notion as the Trigger App to Capture New Items
We will now look at the process for establishing a connection between Notion and Pabbly Connect, which will enable us to extract items from your Notion database.
A. Trigger App
Trigger enables us to select the application from which Pabbly Connect will retrieve the data. In this instance, it would be Notion.
Choose ‘Notion’ as the Trigger App, select ‘New Database Item’ as a Trigger Event, and click on ‘Connect’.
B. Connect Notion Account
To connect with your Notion account, select ‘Add New Connection’, and click on ‘Connect With Notion’. After that, you’ll need to grant permission by authorizing access.
Select the Database ID that you wish to retrieve items from, then click on ‘Save & Send Test Request’.
Expand the Received Response section to view the items retrieved from your Notion database. This indicates that the connection has been successfully established.
Step 3:- Add Date / Time Formatter to the Workflow
Google Calendar requires us to enter the date in a specific format (2020-04-28T09:30:00Z), the Start and End date we have in our Notion database is not in that format. In order to comply with Google Calendar’s specific date format, we will add a Date / Time Formatter to our workflow.
Choose ‘Date/Time Formatter by Pabbly’ as the Action App, select ‘Format Date with Time Zone’ as an Action Event, and click on ‘Connect’.
Map the Start Date from the step above.
Choose the ‘From’ and ‘To’ formats.
Select From and To Timezone, and click on ‘Save & Send Test Request’.
The Start Date has now been converted to the correct format. You can fix the Due Date in a similar manner.
Step 4:- Setup Google Calendar as the Action App to Create Events
Action allows us to choose the application that will get executed by the workflow trigger.
We essentially want to use the data captured from Notion database for Google Calendar events. Therefore, Google Calendar will be our Action App.
A. Action App
Choose ‘Google Calendar’ as the Action App, select ‘Create an Event’ as an Action Event, and click on ‘Connect’.
B. Connect Google Calendar Account
To connect with your Google Calendar account, select ‘Add New Connection’, and click on ‘Sign in with Google’. Additionally, grant the authorization.
Choose the Calendar to which you would like to add the event.
C. Map Necessary Fields
After successfully linking your Google Calendar account, you only need to map the relevant information from the preceding steps. Mapping guarantees that our data stays dynamic and adapts according to the received responses.
Map the Title from the trigger step.
Likewise, map the other fields, leaving the unnecessary ones empty, and click on ‘Save & Send Test Request’.
The moment you click on Save & Send Test Request, an event will be created in your Google Calendar.
Our automation is finished, and we have effectively integrated Notion with Google Calendar. Henceforth, whenever you add a new item to your Notion database, it will automatically create events in Google Calendar.
