Automatically Save Facebook Leads to Airtable and Add Contacts on Zoho CRM

  • by

Let us see how you can integrate Facebook Lead Ads with Airtable and Zoho CRM. This integration will automatically save your Facebook Leads on Airtable and Add Contacts to Zoho CRM using the lead data.
This automation requires a one-time setup, for which we will use Pabbly Connect.
We will first link Facebook Lead Ads with Pabbly Connect to capture the lead data, link Pabbly Connect with Airtable to send this data to Airtable. And finally, add this lead as a contact on Zoho CRM.

Steps to Automatically Save Facebook Leads to Airtable and Add Contacts on Zoho CRM

1. Sign In / Sign Up to Pabbly Connect and Create a Workflow
2. Establish a connection between Facebook Lead Ads and Pabbly Connect
3. Check for Existing Data in Airtable
4. Setup Airtable as the Action App
5. Create a Contact in Zoho CRM

Step 1:- Sign In / Sign Up to Pabbly Connect and Create a Workflow

A. Sign In / Sign Up

To begin this process, visit Pabbly Connect and create your account by clicking on the ‘Sign Up Free’ button. You can also click on Sign In if you already have an account.

Click on the Pabbly Connect ‘Access Now’ button

B. Create Workflow

To create a new workflow, click the ‘Create Workflow’ button.

Name your workflow, and click on ‘Create’.

Step 2:- Establish a connection between Facebook Lead Ads and Pabbly Connect

We will now look at the steps through which we will establish a link between Facebook Lead Ads and Pabbly Connect. This will help us to fetch the lead details from Facebook Form responses.

A. Trigger App

Trigger allows us to choose the application that will receive the data for Pabbly Connect. In our case, it would be Facebook Lead Ads.

Expand the trigger step, choose ‘Facebook Lead Ads’ as the Trigger App, and select ‘New Lead (Instant)’ as your Trigger Event. Click on ‘Connect’. Doing this will result in Facebook Lead Ads sending data directly to Pabbly Connect whenever a new lead is generated.

Select ‘Add New Connection’, and click on ‘Connect With Facebook Lead Ads’. Also, grant the authorization.

B. Establish Connection

Select the Facebook page on which you are running the lead ads, and choose the LeadGen Form you want to link with Pabbly Connect. Click on ‘Save And Send Test Request’.

As soon as you click on ‘Save And Send Test Request’, Pabbly Connect will start looking to fetch data from Facebook Lead Ads indicated by the rotating ‘Waiting for Webhook Response Button’.

C. Test the Connection

To fetch the lead details, we will use the ‘Facebook Lead Ads testing tool’, which will help us create a dummy lead. Upon submission of this dummy lead, Pabbly Connect will capture the data from Facebook Lead Ads to test our established connection.

Click on ‘Facebook Lead Ads testing tool’

You will be redirected to the Lead Ads Testing Tool, where you need to create a dummy lead.
Select the Page and Form you want to link, and click on ‘Preview form’

Fill out this dummy form, click on ‘Next’, and ‘Submit’ this form.

Switch back to Pabbly Connect, expand Response Received, and our dummy details must be visible, thus confirming our established connection.

We have established a link between Facebook Lead Ads and Pabbly Connect. Pabbly Connect will now automatically fetch the details of any new leads.

Step 3:- Check for Existing Data in Airtable

In this step, we will check for the existence of duplicate data in Airtable. In case a lead with the same data already exists in Airtable, a record will not be created in the next step.

Choose ‘Airtable’ as the Action App, select ‘Search Record’ as an Action Event, and click on ‘Connect’.

To connect with your Airtable Account, select ‘Add New Connection’. You will be asked to enter your API Key / Token.

To find your API Key, login to your Airtable account, and click on the ‘Profile Icon’ > ‘Account’

Copy your API Key or generate a new key, then copy it if you don’t already have one.

Paste the API Key in its given field, and click on ‘Save’.

Select the Base, Table Name, and Field Name in which you want to search your leads.

Map the Search Value from the step above, and click on ‘Save & Send Test Request’

Since we don’t have this email address in our table, it’s showing a nil response, and the lead will get recorded in the next step. Had a record been there with the same email, it would have given us a response containing the lead details.

Step 4:- Setup Airtable as the Action App

A. Action App

Action allows us to choose the application that will get executed by the workflow trigger.
Since we want to record the lead in Airtable, it will be our Action App.

Add another Action Step by clicking the ‘+’ button.

Choose ‘Airtable’ as the Action App, select ‘Create Record’ as an Action Event, and click on ‘Connect’.

B. Connect Airtable Account

Connect with the same Airtable account you made a connection with in the previous step, by clicking on ‘Save’.

Select the Base Id and Table Name in which you want to keep a record of your leads.

As soon as you select Table Name, the columns of this table will start reflecting as fields in your Action Step.

C. Map the Necessary Fields

Since we have already captured the lead from Facebook Lead Ads, all we need is to map those details from above. Mapping ensures our data remains dynamic and changes as per the received responses.

Map the Email address from the trigger step.

Similarly, map the other fields, and click on ‘Save & Send Test Request’.

Step 5:- Create a Contact in Zoho CRM

We will now create a contact in Zoho CRM using the data received from Facebook Lead Ads.

Add another Action Step by clicking the ‘+’ button.

A. Action App

Choose ‘Zoho CRM’ as the Action App, select ‘Create Contact’ as an Action Event, and click on ‘Connect’.

B. Connect with Zoho CRM Account

To connect your Zoho CRM account, select ‘Add New Connection’, and click on ‘Connect With Zoho CRM’.

You can find the Domain from your Zoho CRM account URL

Enter your Domain, and click on ‘Save’. Also, grant the authorization.

C. Map the Necessary Fields

We will now fill up the fields by mapping the details from the Trigger Step. Leave the unnecessary fields empty. And click on ‘Save & Send Test Request’.

As soon as you click on Save & Send Test Request, a contact will get created in your Zoho CRM account.

Our automation is complete. To recap, we established a connection with Facebook Lead Ads to capture the lead data, searched for duplicate data and recorded it in Airtable, and finally created a contact in Zoho CRM.
We have successfully integrated Facebook Lead Ads with Airtable and Zoho CRM. Now, whenever a new lead responds to your Facebook form, it will automatically be added to Airtable and Zoho CRM.
